Position Summary
The Training and Licensing Coordinator plays a vital role in maintaining workforce compliance and supporting the professional development of employees. This position is responsible for tracking, submitting, and archiving licenses and certifications, performance reviews, coordinating apprenticeship program administration, and providing backup support to the Executive Administrative Assistant. The role also delivers administrative support to the Operations and Service departments.

Qualifications
- High school diploma or equivalent required
- 2+ years of experience in administrative coordination, compliance tracking, or licensing within a technical or construction-related field
- Familiarity with apprenticeship programs, licensing bodies, and regulatory compliance is highly desirable
Skills & Competencies
- Strong organizational skills with attention to detail and accuracy
- Proficiency in Microsoft Office Suite and experience with license tracking systems or HRIS platforms
- Ability to manage multiple priorities and meet tight deadlines
- Excellent written and verbal communication skills
- Collaborative team player with strong problem-solving skills
Essential Roles and Responsibilities
Licensing & Certification Management
- Maintain a centralized database of all employee licenses and certifications.
- Monitor expiration dates and ensure timely renewals and re-certifications
- Submit applications, documentation, and renewals to regulatory bodies as needed
- Maintain digital and physical records in accordance with compliance and audit standards
Apprenticeship Program Support
- Handle enrollment, registration, and documentation for apprentices in accordance with state and federal guidelines
- Coordinate class schedules, track hours and progress, and communicate with Training Committee.
- Prepare reports and maintain accurate records for internal and external audits
Performance Review Oversight
- Assist Supervisors and Managers with performance review process through notifications and preparation of wage adjustment communications.
- Assists HR Generalist in monitoring and ensuring that all reviews are completed and archived.
Administrative Support
- Serve as the primary backup to the Executive Administrative Assistant during absences or peak workload periods
- Assist Operations and Service departments with scheduling, report generation, data entry, purchase orders, and work order documentation
Onboarding Support
- Assist HR Generalist in the onboarding of new employees.
- Schedule any needed appointments and prepare new hire packages.
- Work with Executive Administrative Assistant in hosting bi-monthly Onboarding/Re-onboarding events.

Physical Requirements & Work Environment
- Predominately sedentary light office position with high frequency of keyboarding/computer work required (67% – 100%) of the workday
- Ability to travel
- Ability to hear and verbally communicate effectively with customers and team members
- Ability to sit, stand or walk for extended periods of time
- Must be able to see well (either naturally or with correction)
- Use hands, fingers, and arms, to safely data entry
- Lift and carry office supplies or accounting boxes weighing 25 lbs or more
