Service Department Administrative Assistant

VHV Company is seeking a part-time Service Department Administrative Assistant.

Looking for a motivated, self-starter who is organized and can handle working with various interruptions throughout the day. Must have excellent communication and interpersonal skills.

DUTIES AND RESPONSIBILITIES:

  • Able to perform clerical duties including modifying service contract information
  • Back-up service coordinators or service administrator
  • Daily entries of service field personnel labor for work orders
  • Monitor service technicians timecards and review accuracy with respective work order
  • Update the Dispatch Boards
  • Tracking inventory for all maintenance inspection work orders
  • Assist in uniform record-keeping, maintaining a spreadsheet of all changes and additions
  • Scans receipts, packing slips, work order notes, etc. into the accounting system
  • Assists with billing

KNOWLEDGE & SKILLS REQUIRED

  • Strong verbal and written communication skills
  • Planning/organization/time management skills
  • Team player, self-motivator and independent worker
  • Detail-oriented to maintain accurate information
  • Ability to multi-task and meet deadlines
  • Computer skills: Microsoft Office Word, Excel, Outlook, Spectrum
