Position Description

The Service Coordinator / Dispatcher is a critical link between our service technicians and customers. This role is responsible for scheduling technicians, dispatching calls, supporting field staff, and ensuring work orders are completed accurately and efficiently. You’ll help maintain strong customer relationships while keeping our service operations running smoothly. This is a fast-paced, detail-oriented role with lots of opportunities to make an impact.

Responsibilities

  • Receive and respond to incoming service calls promptly and professionally
  • Dispatch HVACR service technicians to customer sites based on urgency, location, and availability
  • Create, schedule, and adjust daily and weekly technician calendars
  • Coordinate customer communication to confirm arrival times, access requirements, and job expectations
  • Support technicians with service history, job notes, material needs, or technical guidance
  • Review completed work orders for accuracy and completeness; close out in Spectrum system
  • Assign and schedule preventative maintenance visits; ensure they are completed per agreement
  • Generate monthly service contract inspection work orders
  • Continuously seek opportunities for process improvements and share ideas with the Service Manager
  • Ensure all technician check-in/check-out procedures are followed
  • Adapt to unique customer site requirements (e.g., security clearances, safety protocols)

Qualifications

  • High school diploma or equivalent required
  • One+ years in an administrative, dispatch, or customer service role
  • Experience in HVACR or construction industry preferred
  • Strong organizational and time management skills
  • Excellent verbal and written communication
  • Calm under pressure; able to multitask and prioritize effectively
  • Customer-first mindset and positive attitude
  • Strong attention to detail and follow-through
  • Reliable, accountable, and a team player

Physical Requirements & Work Environment

  • Office-based position with frequent computer use (67–100% of the day)
  • Ability to sit, stand, walk, use hands/fingers for extended periods
  • Must lift and carry up to 25 lbs occasionally (files, supplies)
  • Occasional travel or site visits may be required
  • Clear verbal communication and accurate data entry required
