Accounting AP/Payroll Specialist

Our main office is located in Winooski, Vermont with additional offices in Littleton and West Lebanon, NH.

Position Overview:

The AP/Payroll Specialist is a key part of the Finance team and is responsible for the weekly processing of payroll along with the completion of all tasks related to accounts payable. They will serve as back-up to the Accounting Supervisor and Accounting Assistant, and work with the team to continually improve the finance functions.

Essential Functions:

Accounts Payable Function

  • Follows the A/P-Invoice process to insure timely entry, approval, and payment of all Accounts Payable items.
  • Ensures that all available discounts are taken on A/P payments and works with all departments to seek out new A/P discounts.
  • Strong foundation in core functions and formulas in Excel; Importing/Exporting data, sorting, data analysis, etc.
  • Resolve purchase order, A/P invoice, and payment discrepancies.
  • Review and enter subcontractor invoices timely, work with Vendor and Project Manager to resolve discrepancies.
  • Verify vendor accounts by reconciling monthly statements and related transactions; ensure refunds are received on outstanding credit memos.
  • Disburses petty cash by recording entry, verifying documentation.
  • Review and recommend modifications to accounting systems and procedures to ensure efficiency in processing tasks.

Payroll Functions:

  • Collect, enter, and process timecards and reimbursements for weekly payroll.
  • Process necessary payroll deductions such as child support and garnishments each week.
  • Resolves payroll discrepancies that may come up.
  • Uploads timely direct deposits and HSA to banking institutions each week.
  • Ensure paychecks are sent out weekly.
  • Maintain/update Standard Operating Procedures for payroll.
  • May perform other related duties as required.

Competencies – Education, Knowledge, Skills and Abilities:

  • Two-year degree in Accounting, Finance or Business, plus 5+ years of experience preferred.
  • Ability to analyze Information, data entry skills, attention to detail, thoroughness, financial software, reporting skills, verbal communication, organization.
  • Ability and interest to learn new skills.
  • Demonstrated payroll management experience.
  • Protects organization’s value by keeping information confidential.
  • Ability to create, implement and review standard operating procedures and update as needed.
  • Proven experience with variety of accounting software and Microsoft tools.
  • Problem solving ability, analytical and numeracy skills.
  • Customer/Employee focus and excellent communication skills.
  • Works collaboratively across all VHV departments.

Physical Demands and Work Environment:

  • Predominately sedentary light office position with high frequency of keyboarding/computer work required (67% – 100%) of the workday.
  • Ability to travel.
  • Ability to hear and verbally communicate effectively with customers and team members.
  • Ability to sit, stand or walk for extended periods of time.
  • Must be able to see well (either naturally or with correction).
  • Use hands, fingers, and arms, to safely data entry.
  • Lift and carry office supplies or accounting boxes weighing 25 lbs. or more.
  • Climb up and down stairs.
  • Kneel and crouch.
